IFDC (www.ifdc.org) is an International Public Non-Profit Organization striving to improve the livelihood of people in developing countries throughout the world. Its mission is to facilitate the sustainable improvement of agricultural productivity through the development and transfer of effective and environmentally sound plant nutrient technology and agricultural marketing.
IFDC is seeking to contract an intern for the positions which details are given below.
Job Description and Essential Requirements
Main Duties
The Bilingual Administrative Assistant coordinates activities, employee schedules and needs within an office setting on a day to day basis for general smooth, efficient and effective running of the IFDC Cote D’ivoire Office.
Specific Job Duties
• Assists office staff in maintaining files and databases;
• Monitors day to day office operations;
• Schedules appointments and meetings for the country Representative
• Manages staff travel and leave schedules,flight and hotel reservations, travel advance and reimbursement request;
• Tracks office supply inventory and prepares supply orders;
• Oversees the preparation and use of office petty cash;
• Maintain incoming and outgoing correspondences, minute-taking at meetings.
• Assist in the organization of workshops, training as well as conferences and purchase of tickets and make hotel arrangements for local and international staff and participants.
• Organize and maintain accurate filing systems.
• Translate documents from French to English and vice versa.
• Liaise with the Admin and Finance Officer in Abidjan in the application of IFDC procedures.
• Perform any other tasks related to the function requested by the Cote D’ivoire NAFO and the Country representative.

• Highly organized and flexible, and showing initiative;
• Ability to multitask and meet changing deadlines;
• Must be self-directed and able to complete projects with limited supervision;
• Ability to maintain staff confidentiality;
• Working knowledge of web-based searches (Internet) and email (Outlook), scheduling (Outlook calendar), word processing (Word), spreadsheets (Excel) and presentation software (PowerPoint);
• Ability to facilitate and support the work of team members.
Qualifications
• HND secretariat or other professional secretarial qualification.
• At least 2 years work experience, ideally with an international NGO.
• Ability to read, write and speak English and French.
• Computer literate in MS-Excel, MS-Word, Power Point and Outlook and web-based system.
• Ample experience in formatting, proof reading and editing Word documents and Power Point presentations.
• Ability to work under pressure and for extra hours and meet tight deadlines.
• Ability to assess priorities and work on own initiative.
• Great organizational skills and attention to detail in operationalization of secretarial tasks.
• Good communication and interpersonal skills.
• Strong sense of integrity and personal commitment to the achievement of goals.
• Good team work skills and ability to work in a multicultural environment.
• Basic knowledge in accounting.
Duty location
